Job Description

Reed HR are working alongside a well known Not for Profit organisation based in South West London who are urgently recruiting for an experienced Temporary HR Officer for initially 2 months.

This role is only suitable for applicants who are immediately available.

Job Summary

To provide HR & Administrative support covering all HR matters including maintaining the HR database (currently iTrent) and other records, recruitment, payroll & pensions administration and learning & development.

1. Maintaining the HR system (iTrent) for staff and maintaining both electronic and paper-based HR records as appropriate.

2. Acting as the first point of contact for dealing with day to day HR queries such as sickness, holidays, pay, overtime and staff benefits.

3. Monitoring a number of mailboxes and responding to queries or escalating them in a timely manner to relevant colleagues as appropriate.

4. Monitoring and updating various workload trackers, using excel spreadsheets.

5. Dealing with day-to-day administration of the department, such as taking telephone messages, photocopying, scanning, electronic filing, archiving and dealing with large mailings.

6. Maintain iTrent by making establishing changes, eg. new posts and post changes, as well as entering starters, leavers and updated changes on to the system or facilitating these modifications if undertaken by an external provider. Liaising with the appropriate heads of departments to check information where necessary.

7. Responsible for issuing standard letters, HR forms, contracts of employment and identity passes.

8. Responsible for the administration of the organisations recruitment processes, including placing and removing advertisements, dealing with enquiries from applicants, arranging interviews and producing information packs for interview panels, as well as handling equality monitoring data.

9. Produce regular and ad hoc management reports from iTrent, as requested by the line manager and other colleagues within the HR Department.

10. Contribute to Learning and Development by administering various documentation for training events and support with training logistics.

11. Undertake administration related to Criminal Record Checks and other relevant employment checks, including right to work, references, qualification and pre-employment health checks.
